The technician is told when you book, move or cancel a booking on the Resource Planner, once for a whole route plan, and when a repeating inspection is due. Messages arrive by email, push and the in-app bell, following your work order settings. For the basics, see How Notifications Work: Email, Reminders and the In-App Bell.
What messages does the planner and its schedules send?
Message | Who gets it | When |
Booking Update | The technician | A booking of theirs is made, moved or cancelled on the planner |
Plan Update | Each technician in a plan | Once per person, after a route plan is applied |
Schedule Reminder | The people on a repeating inspection | The afternoon before, and the morning of the day |
Schedule Not Started | Whoever made the schedule | Once, when a date is not started on time |
New action from a schedule | The person it is assigned to | When the next action is created, like any new action |
Finish your profile | A technician | When a planner asks them to complete their profile |
For technicians: what lands on my phone
What do I receive when the office books, moves or cancels my work?
What happened | What the message says |
You are booked | Booked: WO-123 - Mon 5 Oct, 9:30â10:15 am |
You are booked and the job moves to you | New job: WO-123 - booked Mon 5 Oct, 9:30â10:15 am |
Your booking moves | Booking moved: WO-123 - now Tue 6 Oct, 1:00â1:45 pm |
Your booking is cancelled | Booking cancelled: WO-123 - Mon 5 Oct, 9:30 am |
Your day is handed to someone else | One message listing up to three bookings, then +N more |
A message links to the job only while you still hold it. You are never told about a change you made yourself.
Why do I get one message for a whole plan?
A route plan may book or move several of your bookings at once. You get one message listing everything that changed, for example Your bookings changed: 4 changes: Booked âŠ; Moved âŠ; +2 more. Push, the bell and text show up to three, then +N more; the email lists every line. It is sent about 30 seconds after the plan's last change, and if the planner presses Undo before then, nobody is told.
What reminders do repeating inspections send?
Schedule Reminder: the afternoon before (4 pm) and the morning of the day (7 am, or an hour before its time if that is earlier). The link starts the inspection for that date.
Schedule Not Started: sent once to whoever made the schedule, when a date is not started on time.
Email and the bell are on by default; push and text are off unless your company turns them on.
What about repeating actions and work orders?
Each new action is notified like any new action, with the usual due soon and overdue reminders. A repeating work order creates a copy about a week ahead and assigns it to you. See How to repeat Work Orders, Inspections and Actions on a schedule.
What is the Finish your profile message?
If a planner asks you to complete your profile, you get one message naming what is missing, and a Finish your profile card appears on your Dashboard and Agenda with Finish profile and Not now. This arrives with the next Colobbo app update. Not now hides the card for 7 days on that phone.
Where do messages arrive?
Channel | What to expect |
In-app bell | Booking and plan messages always arrive here. The bell opens the job where there is one. |
Push | A short line on your phone, following your company's settings. |
The full version, with a button to open the job. | |
Text | Only where your company has it on for that message. |
For planners
You do this | The technician receives |
Assign, move or cancel a booking | A Booking Update, straight after the change |
Apply a route plan or a Colobbo AI day plan | One Plan Update, about 30 seconds after the last change |
Press Undo within the plan's few seconds | Nothing, if it is before the message goes. Otherwise the undo is announced as usual |
Make a repeating inspection | Reminders on each date |
Ask someone to finish their profile (their panel in the planner) | One Finish your profile message |
Nothing is sent for a change that only acknowledges a warning, edits a note, switches a booking between tentative and scheduled, moves a due date, or concerns a booking that is already over. A job that changes hands is always announced.
For admins: switches and wording
Booking Update and Plan Update have no row of their own. They follow the row labelled Assigned, under the Work Order group in Settings âș Notifications: the same email, push and text switches and defaults. If you turn email off on that row, booking and plan messages stop going by email too. The bell always gets them.
The two schedule reminders have their own rows under Inspection. You can switch channels and reword them. See How to Edit Notification Messages, Text Messages and Reminders.
Tips for getting the most out of it
Check the Assigned row (under the Work Order group) once. It controls booking and plan messages as well as assignments.
Frequently asked questions
Why did a technician not get a message?
The planner pressed Undo first, the change was one nothing is sent for, the technician made it themselves, or the Assigned row (under the Work Order group) has that channel off. The bell always gets booking and plan messages.
Why did a technician get one message for six bookings?
By design. A route plan sends one message per person for the whole plan.
Can I turn booking messages off separately from assignment messages?
No. They share the Assigned row under the Work Order group.
Do customers get a message when their booking is planned?
Not from the planner.
Who gets the Schedule Not Started alert on a repeating inspection?
Whoever made the schedule, once.
Can a technician reply to a text?
No. Texts come from a sender name and cannot be replied to.
