The Resource Planner is the Colobbo screen where you plan who does which job, and when. Every person is a row, every booking is a block on their day, and one list holds everything still waiting for a time. This tour walks you round it once.
Two words you will see everywhere:
A job is a work order: the work that needs doing.
A booking is time set aside for someone that is not a work order, such as a site visit or an activity like Training. A job placed on someone's day is shown as a block too (the Key calls it a Job visit).
What is the Resource Planner and what is it for?
It is for planners, coordinators and supervisors: see everyone's day at a glance, book, move and cancel work by drag and drop, and get warned before you double-book or overload someone.
Where do I find the Resource Planner?
Open the menu on the left of Colobbo and select Resource Planner.
Can't see it? Colobbo switches the planner on for your company, and your role needs the Resource Planner permission: View to see it, Edit to book, move and cancel.
What are the parts of the screen?
Part | What it does |
Toolbar (top) | Today, the arrows, the date button (opens a calendar), and the Day, Week, Map switch. On the right: Ask (where your company has Colobbo AI), New booking, the ⯠menu for route planning and keyboard shortcuts, and the Board settings cog. |
Summary line | A quick count: hours booked, jobs, bookings, and anything that needs attention, such as 2 over capacity. It ends with Times (the time zone) and the Key. |
To schedule (left) | One list for jobs and bookings that still need a person or a time. The day you are looking at comes first, then Other days. |
People and board (middle) | One row per person. Time runs across in Day view; days run across in Week view. The red line is now. The People header has a search box and a funnel for Filter people. |
Side panel (right) | Opens when you select a job, a booking or a person: Assign for a waiting job, the details of a booking, or a person's whole day. Use Open full page to see the whole record. |
Shortcuts: T for today, the arrows for the previous or next day, 1, 2, 3 for Day, Week and Map, and ? to see them all.
In To schedule, the chips along the top narrow the list: All, Unassigned (no one on them yet) and No date yet (someone is on them but they have no date). Filter also narrows by who a job is assigned to. Fold the list away with the double arrow at its top for more room.
Under each person's name you see how much of their day is booked, such as 6 / 8.5 h. The bar turns red when someone is booked for more hours than they work. Rows that say Hours not verified or No hours set are never judged.
What do the colours mean?
Select Key on the summary line. It opens by itself the first time and explains the board, or the map's pins.
You see | It means |
Job visit | A work order placed on someone's day. |
Booking | A site visit. From booking page on it means a customer booked it online; you change those in the Scheduler. |
Activity | Time for the team, like a toolbox talk. |
Inspection, action or work order | Part of a repeating schedule; the block says so. |
Orange edge | Needs attention. Its details say why. |
Dashed edge | Tentative, or saving. |
Hatched | Time off, with the reason written on it. |
Grey tint | Outside the person's working hours. |
Red bar under a name | Booked over their hours. |
Red line | Now. |
How do the Day, Week and Map views differ?
View | Best for | What you see |
Day | Planning one day closely | People as rows, hours across. Drag a block to move it, drag its edge to change its length. Every change shows an Undo for a few seconds. |
Week | Seeing a team's load | People as rows, days across, with the hours booked each day, leave, weekends and Not working days. Select a day's heading to open that day. Drop a job from To schedule on a cell to book it there. |
Map | Booking by place | The map takes the board's place and To schedule stays beside it. Waiting jobs and the day's bookings are pins. See How to use the map on the Resource Planner. |
What does "booking" mean on the planner?
Colobbo uses booking for anything on the planner that is time set aside for a person. To schedule lists both, and they are handled the same way. To book a job or create a booking, see How to book, move and assign work on the Resource Planner.
Who sees what?
Who | What they see |
Office and planners | Everyone in your company, with the people and partner companies they are allowed to see. View lets you look; Edit lets you book, move and cancel. |
A subcontractor's admin | Only their own company's people, with the jobs given to them. |
A technician (where their role gives them access) | Only their own row. They also hear about every booking, move or cancellation by message. |
What should an admin know?
For admins. Once Colobbo switches the planner on, set the time zone, new-job defaults and working hours; see How to set up the Resource Planner (admin). Colobbo AI, route planning, live locations and repeating schedules are also switched on company by company.
Tips for getting the most out of it
Work from To schedule down. Sort by Most urgent or Due soonest.
If you slip, use Undo straight away, or Ctrl+Z (Cmd+Z on a Mac).

Frequently asked questions
Why does it say the Resource Planner isn't switched on?
It is being piloted with some companies. Talk to your Colobbo contact and they will turn it on.
Why can't I drag or book anything?
Your role has View but not Edit; ask your admin. Blocks marked From booking page cannot be dragged either; change them in the Scheduler.
Why do I only see some of the people?
Either a filter is on (the funnel in the People header shows how many) or your role only lets you see your own company. Select the funnel, then Clear filters. See How to plan a large workforce on the Resource Planner.
What time zone are the times in?
Everyone sees times in your company's planning time zone. The Times button shows the zone. Change what you see in Board settings, under Show times in.
Does looking around change anything?
No. Changing the day, view or a filter only changes what you see. Nothing is saved until you book, move or cancel something.
