Colobbo AI is an assistant built into the Resource Planner. Ask it a question in plain words, such as Who can take WO-MSS-00000023? or Who's free after 2 pm?, and it answers with the jobs and people involved, ready to act on. It never changes anything on its own: when it suggests an assignment you see Yes, assign and Not now, and afterwards the planner's usual Undo.
What can Colobbo AI do in the planner?

How do I ask a question?
Open the Resource Planner and select Colobbo AI in the top bar (the button with the sparkle). The panel opens on the right and suggests a few questions.
Type your question (up to 500 characters), or select a suggested button.
Press Enter or the arrow button. The answer appears in the panel.
The panel reminds you: Colobbo AI can make mistakes. Check before you confirm. Jobs it mentions appear as cards with buttons to act on them, such as Assign to Riley Brooks · 10:00 am and Show on map.
What can I ask?
Choose What can I ask? under the question box for examples written with your own board's names.

How do I get it to do something?
When Colobbo AI suggests a change, the card has a button such as Assign to Riley Brooks · 10:00 am or Move to Tom Walsh · 1:00 pm.
Choose the button on the card.
Colobbo AI asks you to confirm in words, for example Assign WO-MSS-00000023 to Riley Brooks, Tue 27 Oct, 10:00 am for 1 h?
Choose Yes, assign (or Yes, move). Choose Not now to leave things as they are.
The card says Done and the Undo bar appears.
The planner's usual checks still apply, so Colobbo AI cannot book something the planner would refuse.
What if my question is vague?
Colobbo AI asks you back, with buttons, rather than guessing. Ask What's urgent? and you get choices such as Due this week · 3, with the number of jobs behind each. Select one and it goes into the chat as your next question.
Can I ask follow-ups?
Yes. Ask Who's closest to WO-MSS-00000023? and then How far is he? The chat carries on until you choose New chat.
Where are my earlier chats?
Choose the clock icon (Earlier chats) to see your last three chats. Open one, then choose Carry on this chat or Delete. Only you see your chats, and Colobbo keeps them for 90 days to improve answers.
How does it know what I am looking at?
If you have jobs ticked, a person shown on the map, or an address found, a line under the question box says so, for example About: 2 picked · Mia Chen, so Who can take these? means the two you picked.
How does it fill a day?
Ask Fill Mia Chen's day, or use the suggested button when a person is shown on the map. Colobbo AI plans their waiting jobs into the day with route optimisation, then adds up to 10 unassigned jobs within 50 km if there is room. You see the stops in order and a button such as Book these 4. Choose it, confirm with Yes, book, and use Undo if you want it back. This is available only where route planning is on for your company. What can it see, and what does it never do?
It sees only what you can see on the planner. A subcontractor admin gets their own company's people and jobs. A technician sees no waiting jobs.
It does not see customer names, phone numbers or notes. It does use job addresses, so it can work out who is near.
It never changes anything without your Yes.
It never moves a booking. Suggestions assign waiting jobs, move job visits, or fill a day.
It never shares one company's data with another.
Distances are in a straight line. Read the card before you say Yes.
For admins
The Colobbo team switches Colobbo AI on for your company, so ask your Colobbo contact if you do not see it in the planner. There is no setting and no key to add. Usage limits apply, and the panel says when one is reached.
Tell your team what it uses: job addresses and the planner's own facts about people's days and free times, limited to what each person may see.
Tips for getting the most out of it
Pick jobs or a person first, then ask. Who can take these? beats a general question.
Start a New chat when you change topic.

Is Colobbo AI always right?
No. Every change is a preview. Check the card, then choose Yes.
Why can I not see the Colobbo AI button?
It is switched on per company. Ask your Colobbo contact.
Can it change things behind my back?
No. Nothing changes until you press Yes, and Undo is available after.
Does Colobbo AI see my customers' details?
No customer names, phone numbers or notes. It uses job addresses to work out who is near.
Who can see my chats?
Only you see them in the planner. Colobbo keeps chats for 90 days to improve answers.
Is there a limit on how much I can ask?
