How to schedule a repeating Inspection

Make an inspection repeat daily, weekly or monthly from the Schedules page, with one person or a rota doing it each time.

To repeat an inspection, open Inspections, choose Schedules, then New schedule. Pick the template, who does it and how often, and each date appears as an inspection to start for that person. The inspection itself is created when they press Start. Your Colobbo contact switches repeating schedules on for your company.

Open the Schedules page

The Schedules button sits in the toolbar of the Inspections list. It opens a page with two tabs: Schedules, the repeats you have set up, and Upcoming, the dates still to come.

Set up the schedule

The New inspection schedule form with the Title filled in and the Template list open

  1. Choose New schedule, then give it a Title and choose the Template.

  2. Under Who and when, choose Who. With more than one person, choose Everyone each time or Take turns.

  3. Choose the date it Starts, then At a time (set Due at) or Any time that day.

  4. Under Repeats, choose how often, Every how many, and how it ends: after a number of times, or on a date.

  5. Choose Save schedule.

A schedule cannot start in the past, and can run for up to a year.

Example

Daily

The Repeats section with Weekly chosen, how the schedule ends, and Save schedule

A pre-start check every day.

Weekly on chosen days

A site walk every Monday and Thursday.

Monthly

The same day of the month, or the same weekday such as the second Tuesday.

Reminders and overdue alerts

The person is reminded the afternoon before (4 pm) and the morning of the day (7 am, or an hour before the due time if that is earlier). If nothing is done by the end of the day, the date shows as Overdue on the Schedules page. If it still has not been started, the person who created the schedule gets a Not started alert, from 7 am the next morning, for up to 48 hours. Use the Overdue filter to see what has slipped. In the next Colobbo app update, technicians will see these dates in the phone app too.

Repeat an Action instead

Open Actions, then Schedules and New schedule. The form is the same, except you write What to do and choose a Priority. Colobbo creates each action when the previous one is due.

Frequently asked questions

Why can I not see the Schedules button?

Repeating schedules are switched on per company, and you need permission for inspections. Ask your Colobbo contact.

Can I skip one date, such as a public holiday?

Yes. Open the schedule and choose Skip beside that date. You can put it back while it is still ahead.

Can I change a schedule after it starts?

Yes. Changes apply to the dates still to come. Inspections already started stay as they are.

How do I stop a schedule?

Open it and choose Stop. Dates still to come are cancelled; past dates and results stay.
