How to use the maps on Work Orders and Boots on Ground

Switch Work Orders to a map to see jobs as pins, draw a box or loop to pick them and assign them in one go, and use the Boots on Ground map to see who was on which site each day.

Both the Work Orders page and the Boots on Ground page have a Map view. On Work Orders, every job in your list appears as a pin you can colour, label, pick and assign. On Boots on Ground, you see one day at a time: which sites had crews on them, from which companies, and how many people.

To switch, use the view switcher button at the top right of the page. It opens a menu with Grid and Map. It takes one click, and your filters and saved views come with you.

How do I see my work orders on a map?

  1. Open Work Orders from the left menu.

  2. At the top right, choose the view switcher button, then choose Map from the menu (the other choice is Grid).

  3. The map opens on where most of your jobs are. The sheet on the left lists the jobs. The list follows the map, so it shows what you can see on screen.

Everyone who can see the Work Orders list can view the map. It is available on the full Work Orders page, not in dashboard widgets or inside a single site's tab, so look for the view switcher button on the main page.

How do I filter the map?

The map uses exactly the same filters, saved view and search as your list. Change them on the list and the pins change with them. A saved view works too. See Create Custom Views for Work Orders. Inside the map, In view narrows the sheet to the jobs in the part of the map you can see. Turn it off to list the whole map.

What do the colours mean?

Pins use your company's own status colours. In the legend at the bottom left, switch Colour by between Status and Priority. The legend shows each colour with a count. Click a row to show only that group, and click more rows to add groups. A line such as Showing 2 of 8 statuses ¡ Show all tells you the map is filtered, and undoes it.

How do I pick jobs on the map and assign them?

This is the fastest way to give out a whole street or suburb of work.

  1. Choose the Box tool (drag a rectangle) or the Loop tool (draw any shape around the jobs). Or choose Select and click pins one by one. Hold Shift to add more.

  2. Draw round the jobs. They turn violet and a bar shows how many you picked.

  3. Choose Assign 12 for jobs nobody has yet, or Reassign 5 for jobs that already have someone. They are separate on purpose, so giving out new work never quietly takes jobs off a technician.

  4. Pick the technician in the list's usual Dispatch picker and confirm. The map reloads and the pins show the new technician.

Mistakes are easy to undo. Every drawn selection, Select these and Clear shows a short note with Undo, and Esc clears the selection. The same bar also offers Select in list, Export CSV and Zoom to these. You can pick up to 250 jobs at a time. Assign shows only for people who can dispatch work orders.

What can I do from a job's card?

Click a pin to open its card: code, status, type, address, technician, due date, priority, work package and customer. From it you can:

  • Open the work order page.

  • Get Directions or open Street View.

  • Download and run ROC, where your account has them.

  • Use the + menu for Boots On Ground, Add Linked WO, Action (admins only) and Inspection, exactly as on the work order page.

  • Change Status and QA, with the same rules as the work order page.

  • Assign or Reassign that one job.

Everything on the map follows the same permissions as the list. A subcontractor sees their own jobs on both.

How do I see work packages on the map?

At the top of the sheet, switch from Work orders to Work packages. The map then shows packages only, with their Work Order Count. Open one and its work orders are listed 50 at a time as you scroll, and the located ones appear on the map. The tabs show only for people who can see the Work Packages grid.

How do I label pins?

Choose Layers (the stacked-squares button), then Labels, and pick up to four fields, including your project's custom fields. The first two show beside each pin. Hovering any pin shows a card with all your chosen fields. The tag button turns labels on and off without losing your choice. Each map remembers its own labels.

The same Layers button switches between Map, Satellite and Terrain.

What does N not mapped mean?

It counts jobs with no address the map can place. Click it to see the list. Each job opens so you can add or fix its address, and you can Export CSV to fix many in a spreadsheet.

Why do the pins differ from my list?

The map shows up to the first 2,000 jobs from your list's request. If you have more, the sheet says Showing the first 2,000 of N. Pick a view or add a filter to see the rest. Filter by project, status or date to bring the rest into view. Jobs without an address are counted as not mapped, not drawn.

How do I use the Boots on Ground map?

Boots on Ground is your daily record of who is where. The map answers that one day at a time, so the same crew on Monday and Tuesday is never counted twice.

  1. Open Boots on Ground from the left menu.

  2. At the top right, choose the view switcher button, then choose Map from the menu.

  3. The day bar at the top left shows the latest day with records, with the number of sites, workers and companies. Use the arrows (Previous day and Next day) to step through days that have records under your filters.

  4. Each site with people that day is one numbered pin. The number is how many workers were there.

  5. Hover a pin to see the site, its address, each company there with its workers, and Open. Click the pin to keep the card open, and use Close when you are done.

Records are plotted at the site, meaning the work order's location, or its work package's. Nothing is drawn at a crew's own position. A line under the day, for example 2 records not on the map (no location found), lists any that have no site location. Labels work the same way as on Work Orders, through the label buttons.

The map uses the newest 2,000 records. If you have more, it says older days may be missing some. Use the list to see several days as rows.

For admins

  • The Work Orders map follows each person's permissions. Assign and Reassign appear only for people who can dispatch work orders, and the Work packages tab only for people who can see the Work Packages grid.

  • Addresses on work orders and work packages drive the map. Jobs without an address cannot be drawn, so encourage good addresses. N not mapped shows you which to fix.

  • Saved views are a good way to give each team its own map. See Create Custom Views for Work Orders.

  • There is nothing to switch on for these maps. They are available to everyone who can see the list.

Tips for getting the most out of it

  • Filter first, then draw. A saved view such as Unassigned, this week plus a loop round one suburb is a very quick way to give out a day's work.

  • Switch Colour by to Priority to see where the urgent jobs cluster.

  • Choose two labels you read most, such as the work order number and the technician, and keep them on.

  • Use Zoom to these after picking, to check you grabbed the right jobs before you assign.

  • On Boots on Ground, step back a few days to compare how many sites and workers you had.

Frequently asked questions

Does the map show where my technicians are right now?

No. These two maps show jobs and sites. Live technician positions are on the Resource Planner map and the Team page in the phone app. See How live technician locations work.

Why is a job missing from the map?

It has no address the map can place. It is counted under N not mapped, where you can open it and fix the address.

Why can I not see Assign?

Assign shows only for people who can dispatch work orders, and only once you have picked jobs.

Can I assign jobs on a page other than the first?

Yes. Jobs picked on the map count wherever they sit in the list, up to 250 at a time.

Why do I see only one day on the Boots on Ground map?

By design. The map shows who was where on a single day, so days are never added together. Use the list for several days.

Can I plan the day from these maps?

For booking and routing, use the Resource Planner. See How to use the map on the Resource Planner.
