How to use the map on the Resource Planner

Use the Resource Planner map to see waiting jobs and the day's bookings as pins, draw round jobs that are close together, assign them in one go, and see one person's route for the day.

To use the map on the Resource Planner, select Map in the Day | Week | Map switch. The map takes the board's place, To schedule stays beside it, and every waiting job and every booking for the day appears as a pin. Draw a box or loop round jobs that are close together, tick them all at once, and assign them to one person.

It answers the questions a planner asks all day: which jobs are near each other, who is already working nearby, and what one person's day looks like on the road. Nothing you do on the map is saved until you assign or book. New to the planner? Start with What is the Resource Planner? A tour for new users.

For planners and office staff. You need **Edit** on the Resource Planner permission to assign.

What can I do on the planner map?

  • Find waiting jobs that sit close together, so one person can do them in one trip.

  • See who is already working near a job today.

  • Pick jobs by drawing round them, then assign them all in one step.

  • Show one person and see their day in driving order, with the road line and drive times.

  • Colour pins by Status, Priority, Type or Person.

  • Find an address or suburb, see where you are, and switch the map style.

What do the pins mean?

Select Key on the summary line. When the map is open it explains the pins. By default, pins use the same Status colours as the Work Orders map, with a legend on the map that shows counts; select a row to show only those pins and Show all to bring the rest back. Bookings are teal.

Work in another time zone that is off screen. Select it to go there.

The Colour pins by choices in the Key change what the colours follow: Status, Priority, Type (job visit, booking, job to schedule, booking to schedule) or Person (each person's pins in their row colour; grey is no one yet).

Select any pin to open its card: the address, who has it, when it is booked, when it is due, its priority, work package and customer, and how far away the person is. On a waiting job the card offers Assign; on a booked job Show on board; on a booking Open booking. Directions, Street View and Show in list are there as well.

How do I schedule jobs near each other?

  1. Select Map.

  2. Choose a tool: Pick to click pins one by one (hold Shift to add more), Box to drag a rectangle, or Loop to draw a freehand shape. Move goes back to dragging the map.

  3. Draw round the jobs you want. Only jobs waiting in To schedule can be picked; booked pins say Already booked.

  4. The picked jobs are ticked in To schedule and listed on their own, under jobs picked on the map. Select Show all to see the whole list again.

  5. Select Assign… on the picked bar, choose the person, the date and the time, and select Schedule.

Only jobs in the map's view (in Filter) narrows To schedule to the jobs on screen as you pan and zoom. Press Esc to cancel a selection, or Clear on the picked bar.

To place a single waiting job, you can also select its address in To schedule: the map flies to it and opens its card.

How do I see one person's day and route?

On the day card at the top of the map, Show starts on Everyone. Open it, search with Search people, and choose someone. Their panel opens beside the map with their whole day, and only their bookings stay on the map.

  • With route planning on, the card shows a summary of the day, such as 5 stops · 1 h 56 min driving · 91.8 km · from Home, and the stops numbered in driving order. Select a stop to find it on the map.

  • If your company has no road routing set up, it says Estimate: straight lines, not the roads.

  • Plan their 4 jobs into Fri, 9 Oct (with their own count and day) puts the person's own waiting jobs into the day on screen. You see a preview first, then Apply, with an Undo. See How to plan a technician's day with Colobbo route optimisation.

  • While a person is shown, a waiting job's card offers Add to their day…, which opens the booking with them already chosen.

  • Open Sam's day (with the name of whoever you are showing) brings the person's panel back if you closed it. Show everyone goes back to all of them.

You can also choose ⋯, then See someone's route…, from the top bar.

How do I find who is nearest to a job?

  • Click the job in To schedule. Best matches in the Assign panel put the nearest free people first, with how far they are and the drive time for the nearest few.

  • On a job's card in To schedule, the person who has it shows how far away they are, such as 3.2 km away, when they have shared where they are.

  • Show a person on the map and look at the pins close to their route.

How do I show where people are right now?

Where live locations are on for your company, each person who is sharing appears on the map as their initials in a disc, with a green dot when they are online and greyed out when last seen. The card reads Live and how many are online. Select a person to open their details. In a person's panel, Show on map opens the map on them. See How live technician locations work (and how to turn sharing on).

Live positions appear on the Resource Planner map. The Work Orders and Boots on Ground maps show jobs and sites, not people.

What does "N not on the map" mean?

the day card with the N not on the map (no address) button highlighted

It means the jobs or bookings have no address that the map can place. The day card shows a button such as 3 not on the map (no address). Select it to see which ones, then fix the address on the work order, or assign them from the list. A route can also say that some stops are not on the map because they have no address or no set time.

How do I use the day stepper?

The day card shows one day at a time, such as ‹ Fri, 9 Oct ›, with its count: 3 booked · 5 waiting in To schedule (rings with an icon). In Day view its arrows move the whole planner's day. In Week view they step the map through the days on screen while the board stays on the week.

How do I change labels, layers and the map style?

Select Layers on the map's tools. You can change the map style and layers, and switch Show labels on to see fields beside the pins. Use Find address to search for an address or suburb, My location to see where you are, and Fit all to zoom out to every job. The map has a full screen button too.

Tips for getting the most out of it

  • Colour by Priority in the Key when you want the urgent jobs to jump out.

  • Draw round one suburb at a time. Smaller groups are easier to give to one person.

  • Use Show to look at one person's route before you add a job to their day.

  • If a pin is missing, check Filter: project, work package and Only jobs in the map's view all narrow the map.

  • Fix addresses that say not on the map; they are the jobs route planning cannot place.

Frequently asked questions

Why can't I pick a pin?

Only jobs waiting in To schedule can be picked, the rings with an icon. Booked jobs and bookings are moved on the board, or opened from their card.

Why does the map show fewer jobs than my list?

The planner loads jobs 25 at a time as you scroll the list, and the map shows the jobs the list has loaded. A 25+ count means there are more; scroll the list to bring them onto the map. The map also shows only parent jobs, as the list does.

Why is there no Map button?

The Map button appears whenever the planner loads its map. If it is missing, either the Resource Planner is not switched on for your company, or the map could not load in your browser (for example because of an ad blocker or network filter). Try refreshing or another browser, and contact the Colobbo team if it is still missing.

Does drawing on the map change anything?

No. Picking only ticks jobs in the list. Nothing is booked until you select Schedule.

Why does it say Estimate: straight lines, not the roads?

Road routing is not set up for your company, so distances are straight lines. Contact the Colobbo team to have it set up; usage limits apply.
