How to Customise PDF Report Layouts for a Template

Open a template's PDF tab to choose which sections appear in the report, add your logo and cover page, set photo size and page size, and save multiple layouts for internal and client versions.

Customising the PDF Report Layout for a Template

Every template in Colobbo can generate a PDF report when an inspection is completed. By default, templates use your organisation's global report layout, but you can override this for an individual template if it needs its own look — for example a different theme, page size, or set of visible sections.

Finding your templates

Go to Templates to see the full list of templates in your organisation. Use Filters to narrow the list, switch between Private and Public templates, or toggle between grid and list view. Each row shows the template name, who created it, and when it was last updated, along with a Start Inspection shortcut. Click New to create a template from scratch.

Select the template you want to configure to open it, then switch to the PDF tab at the top of the page (next to the Template tab).

By default, a template inherits the global report layout configured under Settings → Template PDF Reports, and the panel on the left tells you which layout is currently in use. A live preview of this layout is shown on the right-hand side of the screen — this is exactly what a client will receive, so you can check the design before it goes out.

If this template needs its own report design instead of the global layout, click the circled Customise for this template button. Doing so unlocks a layout selector at the top of the panel — showing the layout currently applied (for example, "Custom layout · default") — along with icons to create an additional layout, rename the current one, mark it as the default for this template, or delete it.

Configuring a custom layout

Once customisation is enabled, the layout controls unlock and apply only to this template — every other template stays on the global layout. Options are grouped into three tabs — Style, Content, and Email.

On the Style tab you can set:

- Photo thumbnail size — Small (6 per row), Medium (3 per row), or Large (2 per row).

- Photo thumbnail shape — Auto (keep photo shape), Square (crop to fill), or 4:3 (crop to fill).

- Photo resolution — Standard or High.

- Media metadata in reports — optionally show file names and/or upload dates under photos.

- Report theme — choose from preset colour themes such as Cool gray, Off-white, Almond milk, Soft blush, Peach cream, or Sky, or select Custom to define your own.

- Page size — A4 or US Letter.

- Branding — paste a URL or upload a company logo to appear on the report.

A live preview of the custom layout updates on the right as you adjust these settings, labelled "Previewing: Custom layout" with the current layout's name shown alongside it. Use the Content tab to control which sections appear in the report, and the Email tab to configure how the report is delivered.

Once you're happy with the layout, click Save to apply it to this template.
