On the web, open a work order and go to the SOR Details tab. Administrators select Add SOR, search the work order's rate card, enter a quantity and select Save SOR. The work order needs a Customer Rate Card first.
Where do I find SORs on a work order?
Go to Work Orders, open a work order and select the SOR Details tab. Technicians do not see the Invoice and Bill tabs, and subcontractor admins do not see Invoice.
You can also add SORs while creating a job: step 4 of the job wizard is SOR Details, and you can Skip it or go Next.
What are rate cards on a work order?
A rate card holds the SORs and prices a work order uses. On the work order, next to Service Area, you will find:
Customer Rate Card: required when creating a work order ("Customer Rate Card is required").
Supplier Rate Card: the matching card for the supplier.
On the work order's details you can change either one with the tick and cross. If you try to add SORs without a rate card, you will see a Missing Rate Card prompt.
How do I add an SOR? (administrators)
Open the work order and select the SOR Details tab.
Select Add SOR. A new row appears with a search box.
Type in Search SOR code or description... and choose the item. It lists items from the work order's rate card. If nothing matches, you will see "No matching SOR found".
Enter the quantity.
Select Save SOR. You will see "SOR details saved successfully."
Original quantity can't be zero. If it is, you will see "Original quantity cannot be 0 for manual SOR items."
What columns will I see?
Administrator: Description, Original Qty, Allocated Qty, UOM, Source, Buy Rate, Sell Rate, Profit, Claim To Date, Approved To Date.
Subcontractor admin: Description, Allocated Qty, UOM, Rate, Claim To Date, Approved To Date, Pending to Claim, When Complete.
Technician: Description, Allocated Qty, UOM, Claim To Date, Approved To Date, Pending to Claim.
When Complete is the allocated quantity multiplied by the buy rate.
Who can edit SORs?
Only administrators see Add SOR and Save SOR and can change quantities and rates. Everyone else sees the SORs but can't change them.
Once a claim exists for a line, you can't change its original quantity or rates: you will see "Cannot edit - claim exists".
To change Allocated Qty, double-click it. A technician must be assigned to the work order first ("Assign technician to enable allocation").
How do SORs feed claims?
Claims are made against SOR lines. A claim quantity can't go above what is pending. Approved claims then flow into the Invoice and Bill tabs. The SOR Details tab also lists a Claims History. Read How claims work for the full picture.
How do I set up rate cards?
Go to Settings âş Rate card. The page is titled Rate card and has Active and Inactive tabs.
Select NEW, or search with Search Ratecard to open an existing one.
Complete the Rate Card tab, then Save & Continue to the Item Details tab.
Select Save Ratecard.
A supplier rate card is linked to a customer rate card.
Can I add SORs on the phone?
No. On the phone, the work order's SOR button opens a read-only SOR screen with SOR Details and Claims. It needs a signal. You will see "No SOR data found." when there are none.
