Can't change a work order because it's already Complete? You need to ask your organisation admin or supervisor to reopen it. They can put the work order back to In Progress, and then you can add or replace photos, update the checklist and complete it again.

Technicians and subcontractor staff can't reopen a completed work order themselves, on the web or on the phone.

Who can change the status of a completed work order?

Only administrators can change the status of a work order once it is Complete. For everyone else, the status button is locked once the job is Complete. It is also locked if the job isn't assigned to them.

If you're a technician or subcontractor staff member and a job needs to be reopened, ask your organisation admin or supervisor.

How do I reopen a completed work order? (administrators)

  1. Sign in to the Colobbo web app and open the work order's details page.

  2. In the header, select the coloured "Work Order Status:" button. A list of the other statuses opens.

  3. Choose In Progress (or another status).

  4. You'll see "Work order status updated successfully."

Once the work order is In Progress, the technician can open it again on the web or phone, add or replace photos, update the checklist and complete it again. Let them know it has been reopened.

Which statuses appear in the list depends on your company's status setup. If In Progress isn't offered, contact Colobbo support.

Can I reopen a completed work order on the phone app?

No. The phone app can't reopen a completed work order. Use the web app instead.

Once a job is Complete, photos and the form become read-only on the phone.

How do I change checklist answers on a completed work order?

Once a work order is Complete, its checklist is locked. To change checklist answers:

  1. An administrator reopens the work order first, using the steps above.

  2. Update the checklist answers.

SOR/BOM stays editable for administrators, so you don't need to reopen the job to change it.

If someone later makes the checklist incomplete while the job is Complete, Colobbo sets the work order back to In Progress automatically.

What happens if the work order is in QA?

If a work order is in QA, non-administrators are also locked out of changing its status.

  • Administrators: you'll see "Start QA" once a job is Complete.

  • Technicians: you can resubmit the job after QA is Rejected.

Why does a red "Cannot complete — requirements pending" box appear?

When you complete a work order, a red "Cannot complete — requirements pending" box means some tasks are still unfinished. Finish the outstanding tasks, then complete the work order again.

What do administrators and technicians see?

  • See "Start QA" once a job is Complete.

FAQ

I'm a technician and the status button is greyed out. Why?

The button is locked once a job is Complete, and also when the job isn't assigned to you. Only administrators can change a Complete work order, so ask your organisation admin or supervisor to reopen it.

Can I do this on my phone?

I uploaded the wrong photos to a completed job. What do I do?

Photos become read-only on the phone once the job is Complete. Ask your organisation admin or supervisor for help. Only an administrator can reopen a Complete work order, and they do that in the web app.

In Progress isn't in the status list. What now?

The statuses offered depend on your company's status setup. Contact Colobbo support.
