How Expressions of Interest Work: Let People Register, Then Book Themselves In

Share a QR code or link so people can register for an appointment before any slots exist, then invite everyone waiting to book their own time when you create a booking schedule.

An Expression of Interest (EOI) lets someone put their hand up for an appointment before you have any appointments to give out. They register on a short web page, you build a list of everyone waiting, and the moment you open booking slots they are invited to book their own time.

It replaces the spreadsheet of people to ring back.


A real example

You win a job for a block of 40 units. Access has to be arranged with each resident, but the crew is not scheduled for three weeks, so you have no dates to offer.

Today that means taking calls, writing names on a list, and ringing everyone back once dates exist.

With Expressions of Interest you put a QR code on the building notice board and share a link. Residents register whenever suits them, including at 11pm. Three weeks later you create the booking schedule, and everyone waiting is invited to pick their own slot.


How it works, start to finish

1. You share your registration link or QR code with the people who need an appointment.

2. They open it and complete four short steps — about two minutes. No account, no app, nothing to install.

3. They get a confirmation with their own reference number, so you both have something to quote.

4. They sit on your list as Awaiting a booking slot. Nothing is expected of them.

5. When you create a booking schedule, everyone still waiting is emailed a link to book. You do not send this by hand.

6. They choose a time. They become Booked and it is in your schedule.


What the resident sees

The page opens straight from the QR code or link, and tells them up front what they are in for — four steps, about two minutes, no password.

Search their street address and pick their building.

2. Contact details

A mobile number and an email address, so you can reach them. This is where they can opt in to text updates.

3. Your details

Their name, unit number, and the property access consent and waiver.

4. Confirmation

Their reference number and what happens next.

They never sign in, never see your other customers, and never see the rest of Colobbo.


Where do I find Expressions of Interest?

Open Schedules from the left menu. There are three tabs across the top — Schedules, Bookings and EOI. Everything to do with expressions of interest lives on the EOI tab.

Each row is one registration: its reference, who registered, how to reach them, whether they asked for SMS updates, and their building. You can search by reference, contact or building, filter, choose columns, and Export the list.

How do I get the link or QR code to residents?

On that same EOI tab, choose Share / QR.

Three ways to share the same page, and one code covers every building in your company:

  • Print the QR code on the building notice. Residents scan it, find their building and register.

  • Copy the registration link into an email or resident newsletter.

  • Embed it on your website using the section at the bottom of the dialog.

Use Preview to see the page exactly as a resident will.

Looking after the list

Someone gave the wrong email or phone number

Correct their details directly — they do not have to register again. This matters more than it sounds: a mistyped email is the commonest reason someone never receives their booking link, and they have no way of knowing they missed it.

Someone is no longer interested

Archive the entry. It leaves your active list without being deleted.


Text messages

Texts need two things to be true, and this catches people out:

1. The resident ticked the text option when they registered. You cannot tick it for them — it is their consent. The SMS Updates column shows who did.

2. Your company has text messages switched on for that notification under Settings → Notifications.

If either is off they still receive everything by email. Email is never affected by the text setting.


Frequently asked questions

Do they need a Colobbo login?

No. The registration page and the booking link are public. They never create an account.

What if someone registers after the schedule already exists?

They are invited to book straight away rather than waiting.

Do I have to email everyone myself when slots open?

No. Creating the booking schedule sends the invitations.

Someone says they never got the booking link.

Check the email address on their record first — a typo is the usual cause. Ask them to check their junk folder too.

Can two people take the same slot?

No. Once a slot is booked it is gone.

How do I know how many slots to open?

Count the entries still showing Awaiting a booking slot. That is your outstanding demand.
