Web Platform · Draft — next release
Expressions of Interest lets people register before a slot exists, then book themselves in when one opens. Record of Conversation keeps every phone call and site chat against the site it belongs to. Your logo and sender name now appear on every email. Every plan includes a monthly text allowance, with SMS packs when you need more. And notifications get smarter and quieter when work changes hands: both people are kept in the loop, a linked work-order family collapses into a single message, and reminder wording is clearer.
🔔 Reassignment Notifications — Both People Are Told
New · Web App
When a work order or schedule changes hands, both people now hear about it. The person taking it on gets the usual assignment message, and the person it has moved away from is told it is no longer theirs — so nothing sits on a list belonging to someone who no longer owns it.
The reassignment message deliberately does not name whoever picked the job up. The previous holder is often a subcontractor, and that is not their information.
Assigned and Reassigned are separate rows under Settings → Notification, so you can switch reassignment messages off, or reword them, without touching your assignment messages.
🧾 One Message for a Whole Linked Family
New · Web App
Reassigning a parent work order together with its linked children used to mean a message for every single record. Now each person gets one message about the work order you acted on, with a Linked work orders line naming the rest — however many levels deep the structure goes.
Each person is told about the records they held, so someone who only had four units hears about those four rather than a parent they never owned.
A new Child Work Order switch at the bottom of the Work Order section decides whether child work orders generate messages at all. It is off by default, and off means off — no email, no copy to your Notify To address, no in-app notification and no text.
📋 Introducing Expressions of Interest
New · Web App
Some jobs start long before you have a date to offer. A block of forty units needs access arranged with every resident, and the crew is not scheduled for three weeks — so the list of people to ring back lives in a spreadsheet, and somebody has to work through it twice.
Expressions of Interest removes that entirely. Put a QR code on the building notice board or share a link. Residents register whenever it suits them — four short steps, about two minutes, no account and nothing to install.
They get a confirmation with their own reference number and then sit on your list, waiting. The moment you create a booking schedule, everyone still waiting is invited to book their own time. You do not send a thing — creating the schedule does it.
You can see who has registered at any point under Schedules → EOI, with each person’s status in plain words: awaiting a booking slot, booking slot available, or booked. That count of people still waiting is also the best guide you have to how many slots to open.
Residents can opt in to text updates as they register, and you can correct a mistyped email without asking anyone to fill the form in again.
🗒️ Record of Conversation
New · Web App
A site is rarely one person’s job. A technician attends a work order, someone else runs an inspection, a third person handles a booking. Each has conversations — access agreed, a date confirmed, work refused — and every one of them lives in a different head.
Record of Conversation gathers them into a single timeline for the whole site, running across work orders, inspections, tasks and bookings, so the next person attending already knows what they are walking into.
Add an entry from a work order or work package, and from inspections, bookings and schedules too. Each entry remembers which record it was raised from, so you can tell at a glance whether a conversation came off an inspection or a booking.
Every entry captures who you spoke to, their number, whether they are the tenant, building manager or owner, a summary of what was discussed or agreed, and an attachment if you have one. The whole log exports when you need it for a client, a claim or a dispute.
It is off until you switch it on. Go to Project Settings → ROC Settings, choose the level records sit at, and enable it for work orders, inspections, bookings and schedules. Then open a work order or work package, go to ROC, and choose Add New.
🎨 Your Brand on Every Email
New · Web App
Until now every email went out looking like it came from us. Now it looks like it came from you.
Upload your logo once and it appears at the top of every email sent on your behalf, and on your public booking pages. Set a sender name and that is what people see in their inbox — "Acme Property via colobbo" rather than a name they do not recognise.
Find it under Settings → Organisation → Branding. A wide logo around 240 × 80 pixels works best, as a PNG with a transparent background. Leave the sender name blank and it stays as it is today.
💬 Text Messages Included With Every Plan
New · Web App
Every plan now includes a monthly text allowance — up to 200 free texts a month, resetting on the 1st. Nothing to set up and nothing to buy before you can start texting customers.
The new Billing tab shows exactly where you stand: how much of the allowance is left, any packs you hold, and what you have spent beyond both. If you need more than the allowance you can buy an SMS pack, valid for twelve months and used before any pay-as-you-go charge.
Pay-as-you-go only ever applies after the allowance and packs are used, at the rate shown on the page, and it is capped monthly — so a busy month cannot produce a surprise.
🛠 Fixes & Improvements
Improved · Web App
Reassigning from the work order screen now notifies people. Changing the technician on the work order detail page previously sent nothing at all.
Reminder emails name what they are about. A grouped reminder now reads "You have 2 work orders needing attention" rather than "2 items", and the same applies to schedules, bookings and actions.
Bulk schedule assignment sends one message per person. Assigning several schedules to the same person at once is a single message listing them, not one per schedule.
Clearer schedule wording. Schedule messages read one-to-many, ongoing and 60 min instead of raw codes and blank dates.
