How Notifications Work: Email, Reminders and the In-App Bell

Every notification colobbo sends, where it arrives, how reminders are grouped into a single daily email, and how to change what you receive.

colobbo tells you about work in two places: the notification bell inside the app, and email. The bell shows everything as it happens, in real time. Email is reserved for things worth interrupting you for, and reminders are grouped so a busy day produces one summary rather than a dozen separate messages.

Where do notifications appear?

The notification bell sits in the top bar on every screen. A small red dot means something new has arrived. There is no number on the bell deliberately — a count you cannot act on is just wallpaper, and the panel itself tells you how many are unread. The dot clears once nothing is unread.

What does the notification panel show?

Click the bell to open the panel. Notifications are grouped into cards by day — Today, Yesterday, This week, Earlier — so the list reads as a timeline instead of one long wall.

Every row carries three things that let you judge it without opening anything: an icon for the type of work, the time it arrived, and small tags with the facts that usually decide whether it is urgent, such as the due date, the work order type, or the priority.

How do I clear notifications I have already seen?

The panel opens on Unread, so what is new is never buried under what you have already read. Switch to All or Read at any time.

There are three ways to clear things, depending on how much you want to remove:

  • Mark all read — clears the entire backlog in one action.

  • Clear on a day heading — removes just that day, which is usually the granularity people actually want.

  • The tick and cross on a row — hover a notification to mark that one read, or dismiss it. Marking read is not the same as opening it: plenty of notifications are finished the moment you read the title.

Which notifications also arrive by email?

Email is not a copy of everything in the bell. It is reserved for work that may need you when you are not in the app — assignments, rejections, bookings, and reminders about work that is due.

Every email carries the same facts as the in-app notification, laid out as labelled lines, plus a button that takes you straight to the record — View work order, View inspection, or for a booking, the options to reschedule, cancel or update. You do not have to find the item again once you are in the app.

Who is told when a work order is reassigned?

Both people are told, and each hears once. The person the work has moved to gets Work Order Assigned. The person it has moved away from gets Work Order Reassigned, so nothing is left sitting on a list belonging to someone who no longer owns it.

The reassigned message deliberately does not say who the work went to. The previous holder is often a subcontractor, and who picked the job up is not their information.

Both messages are their own rows under Settings → Notification, so you can switch reassignment messages off without touching the assignment ones, and change their wording independently.

What if the work order has linked child work orders?

You still get one message, not one per work order. Moving a parent and everything under it sends each affected person a single message about the record you acted on, with a Linked work orders line naming the rest:

This holds however deep the structure goes — a building with floors and units beneath it is still one message per person. Each person is told about the records they actually held, so someone who only had four units hears about those four, not about the parent they never owned.

How do I control messages about child work orders?

One switch: the Child Work Order row at the bottom of the Work Order section. It uses the Work Order messages above — it just decides whether they are sent for child work orders at all.

It is off by default, and off means off — no email, no copy to your Notify To address, no in-app notification, no text. Switch it on and child work orders start behaving like any other work order.

Why do I get one reminder email instead of many?

Reminders are grouped. colobbo checks for work that needs attention twice a day and sends one email per type of reminder, listing everything in it — rather than one email per work order.

If ten work orders are due, that is a single email titled something like Work order reminders — 10 work orders, with each work order listed inside and its own View link. Before grouping, that same day produced ten separate emails arriving at once.

Reminders cover:

  • Work orders due

  • Schedules about to start

  • Bookings coming up

  • Actions due soon

  • Actions already overdue

Each of those is its own grouped email, so an overdue action never gets lost inside a list of things that are merely due.

Can I change what I receive?

Yes — under Settings → Notification, if your role allows it. Each notification type can be turned on or off per channel, and you can edit the wording of the message that goes out. There is also a Notify To Email field for sending a copy to an address that is not a colobbo user, such as a shared inbox.

These settings apply across your organisation rather than to one person, so changes affect everyone who receives that notification type.

Frequently asked questions

Why is there no number on the bell?

Because past about twenty, a count stops being information. The dot tells you something arrived; the panel tells you how much and lets you clear it in one action.

Do notifications appear without refreshing the page?

Yes. The bell updates in real time while you have colobbo open, so a notification appears the moment it is created.

I clicked a notification and it opened the wrong screen.

Each notification links to the record it is about — the work order, inspection, booking or schedule. If a link takes you somewhere unexpected, note the notification title and the time it arrived and contact support, as that indicates the record reference is missing rather than a problem with your account.

My colleague gets an email and I do not.

Email delivery follows the notification settings for your organisation and the role assigned to each notification type — for example, a supervisor may receive team notifications that a technician does not. Check Settings → Notification for the type in question.

What happens to old notifications?

Notifications you have read may be cleared automatically after a set period, so the list stays useful. Anything still unread is never removed automatically, however old it is.

Someone was reassigned a child work order and heard nothing.

Check the Child Work Order row under Settings → Notification. It is off by default, and while it is off no message about a child work order is sent on any channel — the work is still reassigned, the person simply is not told. Switching that row on resolves it.

Does the person losing the work find out who took it?

No. The reassigned message names the work order, its type, status and address, and any linked work orders — but never the new assignee.
