How to Create and Edit a Booking Schedule (One To One vs One To Many)

Set up a schedule your customers can book into: choose One To One for single appointments or One To Many for group slots, set your availability, and control what the booking page asks for.

A booking schedule is a bookable calendar you share with customers as a link. You set when you are available and what you need to know from them; they pick a time without needing an account. Schedules are created under Schedules → New, and the whole setup is a four-step wizard: Basic Details, Schedule Settings, Booking Page Options, and Communications.

The single most important choice is the Schedule Type, because it decides whether each time slot holds one booking or many.

If you are unsure: choose One To One when double-booking would be a problem, and One To Many when you are really promising a window rather than an exact time.

Where do I find my schedules?

Go to Schedules. Each card shows its type, how many slots are booked, and links to open or share its booking page.

Each card carries three useful links:

  • View Booking Page — opens the page exactly as your customer sees it. Worth checking before you share it.

  • View Booking — the bookings already made against this schedule.

  • Copy Link and Share — the public link to send out.

Step 1: Basic Details

This is what the appointment is and who it belongs to.

The heading customers see on the booking page. Make it recognisable.

Project, Work Package, Work Order Code

Links the appointments to the job they belong to.

Assign to User

Who the appointment belongs to. This person receives every booking notification for this schedule.

Location Type

How the appointment happens — a Service Area, a fixed address, or a meeting link for remote appointments. The fields underneath change to match.

Description

Optional context shown alongside the name on the booking page.

Step 2: Schedule Settings

This is where you choose the Schedule Type and set your availability. On a One To One schedule you set a start and end time for each day, and colobbo generates the individual appointment times inside that window.

Date Range — Indefinitely into the future keeps the schedule open with no end date. Clear it to set a start and end date, which is how you run a schedule for a fixed campaign or job window.

Choosing One to many changes this step. Availability becomes AM and PM toggles per day rather than start and end times, and options appear that One To One does not have.

One To Many option

What it does

All day slot

Offers a single all-day option alongside the AM and PM windows, for work that is not tied to a half-day.

Enable users based availability

Sets capacity from how many people are actually available, rather than a fixed number you type in.

Max Booking

The fixed number of bookings a slot accepts, used when the option above is off. This is the number customers see counting down as Available.

Buffer time and minimum notice

Further down step 2 are two settings that quietly prevent most scheduling problems.

A gap before each appointment starts, for preparation or travel.

Buffer — After Booking

A gap after each appointment, so bookings cannot run back to back and there is time to wrap up.

Minimum Notice

How much warning you need before an appointment can be booked. Set to 2 hours, nobody can book a slot starting in the next two hours.

How late a customer may cancel. Set to 1 day, they cannot cancel an appointment starting within the next day.

Step 3: Booking Page Options

This controls what your customer is asked for, and how the booking page reads.

You choose which fields appear — name, email, phone, unit number, whether they own or rent, site access notes, terms and conditions, and a privacy disclaimer — and whether the same person may make more than one booking. You also set the timezone the booking page displays times in, and the message shown when no slots are available, which is worth writing properly because it is what a customer sees when your calendar is full.

Ask for as little as you genuinely need. Every extra required field is another reason for someone to abandon the booking.

Step 4: Communications

The final step sets the reminders that go out before the appointment, by email and by text. These are separate from the booking confirmations, which always send.

How do I edit a schedule I have already created?

Select the schedule from the Schedules list to reopen the same four-step wizard with its current settings. Move between steps using Next and Previous, and select Save when you are done.

Changing a schedule does not disturb bookings already made against it. Narrowing your availability does not cancel appointments that fall outside the new hours, so check existing bookings after a change that reduces your hours.

Frequently asked questions

Can I change a schedule from One To One to One To Many later?

The Schedule Type can be changed in step 2 of the wizard. Because the two types express availability differently — start and end times against AM and PM windows — review your availability and existing bookings after switching.

Who gets notified when someone books?

The customer receives the confirmation, and so does the person named in Assign to User on step 1. See How to Book, Reschedule, Update or Cancel Your Appointment for what your customers receive at each step.

How do I share the booking page?

Use Copy Link or Share on the schedule's card. The link needs no account, so it can go in an email, an SMS or on a website.

Why is my booking page showing no available dates?

Usually one of four things: no days are ticked in step 2, today falls outside the schedule's date range, every slot is already booked, or the schedule is inactive. Use View Booking Page to see exactly what your customer sees.

Can two schedules share one person?

Yes. A user can be assigned to as many schedules as you like. Their availability is not pooled across schedules, so overlapping hours on two schedules can be booked at the same time.
